World Triathlon is seeking an experienced Executive Assistant to the President, based in its Madrid office, to give also support to the Executive Board. This role provides high-level, confidential personal and administrative support directly to the President, ensuring the efficient management of the President's schedule, correspondence, travel and priorities, together with support to the Executive Board travel and logistics, and support on the smooth day-to-day running of the Madrid office.
The successful candidate will be a discreet, highly organised professional with proven experience supporting senior executives or leadership figures, ideally within international, sporting or governance environments, and will be comfortable operating across cultures, time zones and levels of seniority.
Responsibilities
• Manage the President's calendar and appointments, scheduling meetings and anticipating and resolving conflicts and competing priorities
• Act as the first point of contact for the President, screening and prioritising calls, correspondence and requests with discretion and professionalism
• Prepare agendas, letters, briefing materials and follow-up actions for meetings, Executive Board sessions and official engagements attended by the President, in coordination with the Communications department
• Coordination, management and assistance to Executive Board members in the planning, preparation and attendance of Executive Board meetings and when representing World Triathlon at events around the world
• Coordinate complex international travel arrangements for the President, including flights, accommodation, visas and itineraries, often across multiple time zones
• Handle confidential and sensitive information relating to the President and the organisation with absolute discretion.
• Prepare and send emails, letter and any other communication for the President
• Liaise professionally with National Federations, Continental Confederations, IOC and IPC counterparts, partners and other stakeholders on the President's behalf
• Submit and reconcile the President's expense reports and manage related administrative processes
• Maintain the President's contact lists, filing system and records
• Provide light general support to the smooth running of the Madrid office as needed, such as occasional correspondence or visitor support
Requirements
• Minimum three to five years' experience as a Personal Assistant, Executive Assistant or in a similar role supporting senior executives, ideally within an international or sports organisation
• Excellent written and spoken communication skills in English; working knowledge of French and/or Spanish is an asset
• Demonstrated discretion, integrity and sound judgement in handling confidential information
• Strong organisational and time-management skills, with the ability to manage competing priorities under pressure
• Proficiency in MS Office, particularly Outlook, Word, Excel and PowerPoint[AA1]
• Experience coordinating complex international travel arrangements
• Professional, calm and resourceful, with excellent interpersonal skills across cultures and levels of seniority
• Working permit valid in Spain or the EU required
• Availability to travel internationally and to work outside standard hours, including occasional weekends, in line with the President's schedule
